Start with the workplace requirement

A workwear order begins with the tasks and conditions the team faces. Separate ordinary corporate clothing from garments selected for a particular workplace requirement. The responsible workplace team should specify the documented suitability needed; a product category or photograph cannot establish protection. Create groups for roles and working conditions before counting garments. For Conti Suits and Reflective Workwear, ask for the exact model details and relevant supporting documentation when a safety requirement applies. Do not replace a required specification with a similar-looking item without approval.

Build a clear garment schedule

List the selected product reference, colour, quantity and size breakdown for each role. The size totals should equal the garment total. If a size chart or sample is needed, request it before finalising the schedule. Rain Suits and Freezer Jackets require attention to how they will be worn with other clothing; confirm the product’s actual details rather than assuming layering room. Keep replacement requirements and new-starter quantities visible as separate lines so the procurement team can see what the order covers.

Keep branding and approval together

Add the company artwork, preferred position and garment reference to the branding request. Compatibility and placement must be confirmed for the selected item. Review the product schedule, any documented requirements, artwork proof, VAT and delivery terms as one approval package. Name the person responsible for accepting changes. If a product is unavailable, require a proposed alternative with its own details. Preserve the final schedule so a repeat order starts from a reliable record, while still reconfirming current information.
